What qualifications are we looking for?

The successful candidate will have the following:
Education/Certifications/Credentials/Professional Registration
Post-secondary diploma or degree in a relevant discipline.
A combination of education and/or experience may be considered.
Evidence of a clear Police Information Check, within the last six months
Must have a valid driver’s license with a class 07 automobile insurance coverage business use (or pleasure with occasional business use) and a minimum of $2,000,000 in liability coverage.
Knowledge & Skills
Experience working with volunteers in charitable organizations is an asset.
Excellent interpersonal skills with a strong customer service focus
Knowledge about a wide variety of engagement and relationship building techniques.
Proficiency in the use of a Windows based database as well as Microsoft Word, Excel, PowerPoint and Outlook
Exceptional Written and Oral communication skills
What does this role look like at the YMCA of Southeastern Alberta?
Reporting to the General Manager of People and Culture, the Manager of Volunteers is responsible for coordinating and building the YMCA’s volunteer program.
The responsibilities and duties of this role will include but is not limited to:
Customer Service
Interaction with volunteers, members, employees, and the public at large
Respond to phone calls/emails within 24 business hours.
YMCA Values

Teamwork
Work effectively within the Association Services team, contributing to its overall success by:
Promoting the YMCA’s annual Strong Kids Campaign
promoting and/or attending YMCA events
Contributing to a positive and healthy workplace culture
Being part of the River Run committee
Other duties to assist the team, as assigned.
Support the management team with:
identifying volunteer opportunities in their department, drafting job descriptions that can be used for recruitment.
volunteer recruitment by creating and posting job opportunities, collecting and screening applications.
volunteer interviews, reference checks, and onboarding as requested.
HR issues related to volunteers (e.g., performance issues, attendance, etc.)
Ensuring volunteers always comply with Child Protection standards.
Compiling volunteer time sheets, track volunteer stats, and provide data to GM of People and Culture for reporting purposes.
ensuring the management team is kept up to date on changes to any policies or procedures that impact volunteers.
completing all grant applications related to volunteer recruitment, development, and/or retention.
Support YMCA events by recruiting and coordinating volunteers.
Work collaboratively with the Director of Philanthropy to provide a seamless experience for prospective donors and volunteers.
Work collaboratively with departments to aid where needed, as directed by the Assistant GM of People and Culture
SAM Standards
Achieve all quality standards and targets established under YMCA best practices and the YMCA’s SAM 2.1 program.
General cleaning as required around the facility.
Ensuring all staff are aware of SAM 2.1 standards, and work with them to create a culture of excellence in adherence to guidelines and expectations outlined by the SAM 2.1 manual.
Interpersonal/Communication Skills
Communicate effectively with coworkers, supervisors, volunteers, managers, and the senior leadership team.
Ensure workplace conflicts are resolved quickly, following YMCA policies and procedures.
Build and maintain strong relationships with internal and external stakeholders.
Build positive relationships with prospective and existing volunteers and all YMCA service users.
Quality of Work
Volunteers:
Lead the YMCA’s volunteer recruitment, retention, and recognition efforts including volunteer week activities and annual service awards.
Act as first point of contact, and respond to, all volunteer inquiries.
Maintain volunteer contact list and work with Manager of Communications & Marketing to ensure that it is kept up to date and regular communications are written and distributed.
Ensure volunteers’ complimentary YMCA memberships are kept up to date.
Maintain accurate and up-to-date volunteer personnel files.
Keep Volunteer Handbook up-to-date and accessible to volunteers.
Liaison with all volunteers for questions or concerns
Facilitate the resolution of complaints or concerns.
Compliance with Legislation and YMCA Policies and Procedures
Adherence to the following at all times:
YMCA Child Protection and Operational Policies and Procedures
Public health and safety regulations
Occupational Health and Safety
As well as follow all applicable legislation, policies and procedures while carrying out responsibilities.
Work Environment and Physical Demands
Shared office space, located on the 2ND floor.
Stairs to the basement, as needed to access storage, additional washrooms, and future staff room.
Sitting/standing at a desk and using a computer for most of the day
From time to time, may need to lift boxes of files weighing up to 20 lbs.
May be exposed to all weather conditions when walking outside to/from vehicle.
May be exposed to all weather conditions when using a vehicle for occasional business purposes
